Forklift Rental Cost Calculator — Estimate Your Total
Calculate your true forklift rental cost: base rate + delivery + fuel + damage waiver. Step-by-step estimator with sample calculations for 5 scenarios.
The base rental rate is only part of what you’ll actually pay. Delivery, fuel, a damage waiver, and attachments routinely add 30–60% on top of the quoted rate. This calculator walks you through each cost line so there are no surprises when the invoice arrives.
How to Use This Calculator
Work through the 5 steps below. Fill in your numbers to get a realistic monthly estimate before calling a dealer.
Step 1: Base Rental Rate
Start with the equipment type and duration you need. Use current market rates or quotes from local dealers.
| Duration | 5k lb Electric | 5k lb LPG | Diesel Pneumatic 8k lb | Rough Terrain |
|---|---|---|---|---|
| 1 day | $200 | $185 | $275 | $400 |
| 1 week | $700 | $650 | $950 | $1,200 |
| 1 month | $1,200 | $1,100 | $1,500 | $2,000 |
| 3 months | $3,200 | $3,000 | $4,000 | $5,200 |
| 6 months | $5,800 | $5,400 | $7,200 | $9,500 |
Step 2: Delivery and Pickup
Most dealers charge for both directions. Calculate round-trip cost and divide by rental months for a per-month figure.
| Distance from Dealer | Each Way | Round Trip |
|---|---|---|
| Under 25 miles | $75–$150 | $150–$300 |
| 25–50 miles | $150–$250 | $300–$500 |
| 50–100 miles | $250–$400 | $500–$800 |
| Over 100 miles | $400+ | $800+ |
On rentals over 3 months, ask dealers to bundle delivery into the contract rate. Many will absorb it for a committed term.
Step 3: Fuel Cost
This is the most underestimated line item — especially for propane.
- Electric: ~$2–$3 per shift; ~$40–$60/month for one-shift operation. Negligible.
- LPG/Propane: One 33 lb tank lasts ~8 hours and costs $25–$45. One-shift operation (22 days): ~$550–$990/month. Two shifts: ~$1,100–$1,980/month.
- Diesel: ~1–1.5 gal/hour at $3.75/gal. 8-hour shift × 22 days: ~$660–$990/month.
Step 4: Damage Waiver (Optional but Recommended)
The damage waiver covers accidental damage during the rental period. It does NOT cover intentional misuse, overloading, or theft.
- Cost: 10–15% of monthly base rate (e.g., $1,200 × 12% = $144/month)
- Without it: a single mast repair runs $3,000–$8,000; a tire replacement is $800–$2,000
Always take the damage waiver on rentals of 1 month or longer.
Step 5: Attachments
| Attachment | Add-On Monthly Rate |
|---|---|
| Side shifter | $75–$125 |
| Fork positioner | $50–$100 |
| Rotating attachment | $100–$200 |
| Extended forks | $25–$75 |
| Clamp attachment | $100–$175 |
Total Cost Formula
True Monthly Cost =
Base Rate
+ (Round-Trip Delivery ÷ Rental Months)
+ Monthly Fuel Cost
+ Damage Waiver
+ Attachments

At What Point Does Buying Beat Renting?
| Used Forklift | Purchase + 1yr Maint. | Annual Rental | Break-Even |
|---|---|---|---|
| 5k lb Electric | $23,400 | $14,400 | ~18 months |
| 5k lb LPG | $19,800 | $13,200 | ~16 months |
| 8k lb Diesel | $30,200 | $18,000 | ~19 months |
If your need exceeds the break-even period, buying is cheaper. See the short-term vs. long-term rental guide and the forklift rental cost breakdown for more detail.
Frequently Asked Questions
What is the true total cost of renting a forklift?
The true cost adds delivery (both directions), fuel, an optional damage waiver (10–15% of base rate), and any attachment fees on top of the base rate. For a 5,000 lb electric rented monthly, total all-in cost runs $1,300–$1,800/month versus the $900–$1,500 quoted base rate.
How much does delivery add to a forklift rental?
Delivery adds $150–$600 round-trip depending on distance. Within 25 miles: $150–$300. At 25–50 miles: $300–$500. Beyond 50 miles: $500–$800+. On long-term rentals, ask dealers to bundle delivery into the contract — many will absorb it.
